Privacy Policy

This Policy sets out the data processing arrangements carried out by RLB Safeguarding Ltd. 

Please note that all data captured will be used and held in accordance with the requirements of the Data Protection Act 1998 and the subsequent legislation the General Data Protection Regulation (GDPR) 2018.

The type of information we collect:

  • Contact details including enquirer’s full name/s, phone number and email address

  • Information regarding the company in scope of the project including any relevant company policies, procedures or meeting minutes

  • Payment transaction details for invoicing purposes

RLB may collect information about you, for example when you:

  • Enquire about RLB services or visit the RLB website

  • Sign up to receive updates from RLB

  • Post content to our social media sites (including Twitter, Instagram, and LinkedIn)

  • Attend a meeting with RLB and provide us with information about you and your organisation

  • Meet via networking events, referrals, or exhibitions

Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data). RLB may collect, use, store and transfer different forms of personal data are grouped together as follows:

  • Identity Data includes first name, last name, username, and job title

  • Contact Data includes email address and company telephone numbers

  • Technical Data includes internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this website

  • Usage Data includes information about how you use our website, products, and services

  • Marketing and Communications Data includes your preferences in receiving marketing from RLB and your communication preferences

  • We also collect additional information automatically about your visit to our website

Storing and Retention of data:

RLB will only retain your personal data for as long as necessary to fulfil the purposes for which it was originally collected, including for the purposes of satisfying any legal, accounting, or reporting requirements. To determine the appropriate retention period for personal data, RLB consider the nature, amount, and sensitivity of the data, the potential risk of harm from unauthorised use or disclosure, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and any applicable legal requirements.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are: 

  • Your consent. You can remove your consent at any time

  • We have a contractual obligation

  • We have a legal obligation

  • We have a legitimate interest

Data Security:

RLB has appropriate security measures to prevent any personal data being accidentally lost, misused, or accessed in an unauthorised way, altered, or disclosed. RLB have procedures in place to deal with any suspected personal data breaches and will notify you and any applicable regulator (the Information Commissioners Office) of a breach where legally required.

International Transfers:

RLB will always hold your data securely and in line with the requirements of UK data protection legislation and do not transfer any of the personal data collected via the RLB website outside the EEA.

Your data protection rights:

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, RLB Safeguarding Ltd have one month to respond to you.

You have the right to make a complaint at any time to the Information Commissioner’s Office (ICO). You can also complain to the ICO if you are unhappy with how we have used your data.
